A workshop reference — and a working showpiece

John Mark Dougan at Keltus.ru

This site is the reference guide I use for my own hobby, finishing wood. It is also a technology showpiece for our work.

We specialise in data analysis and classification, analytics, and bringing the web and artificial intelligence into your business. If you want a site — or an add-on for the site you already have — that takes your business to the next level, let us know.

The counts and the worked example on this page are read from the live catalog each time the page is built. Nobody types them in.

What we do

01Data organisation and structure

Most businesses already own the data they need. It is just scattered across PDFs, catalogs, price lists and somebody's notebook. We turn it into one clean record per thing — a record a person can read and a program can calculate with.

One layout for everything. Here the raw material was manufacturer data sheets, a printed catalog, dealer tables and my own workshop notes. For each of the 545 products they became one record with the same layout: the name in Russian and English, what the product is, what it is mixed with and in what proportion, how it is applied, how long it dries, how it is packed.

Classification. Every product is sorted two ways: by chemistry (acrylic, polyurethane, polyester, water-based, oil and so on) and by the job it does (primer, lacquer, hardener, thinner). That sorting is what produces the 16 category pages and the filters. Nobody maintains those lists by hand.

Every value says where it came from. A number without a source is a rumour. Each value in a record carries a tag: the manufacturer's site, a data sheet, a dealer, the catalog, a finishing schedule, workshop notes — or “recommended”, which marks our own engineering estimate and carries the reasoning behind it. You can see these tags next to the numbers on any product page.

When sources disagree. They often do. We do not quietly pick a winner. The record keeps each statement with its source, and where two sources give different ratios for the same hardener or thinner, the calculator offers them as separate choices labelled by source, with the manufacturer's own figure first.

Nothing is overwritten. Every change to a product is saved as a new numbered version with the date, the author and a note. Earlier versions are never edited, so any past state can be opened and brought back — and bringing it back is itself recorded as a new version.

02AI integration

AI is good at reading and at explaining. It should not be trusted blindly. We use it for the first two and build the checks that the third requires.

Reading documents. A data sheet — a PDF or a photo of a printed page — is handed to an AI model with strict instructions: copy every number exactly as printed, list what the sheet does not say, never invent a figure or a product code. The retyping is done by the machine. What comes back is a draft, not a publication.

A person stays in charge. The draft is laid beside the current record, field by field, with the differences marked. An editor ticks what to accept, and only then is it published.

Answers grounded in your own data. The assistant on this site is tied to the catalog. With each question it is handed the catalog records — the product you are looking at, or an index of all 545 products from which it pulls the full records it needs — and it is told to quote ratios, times and amounts exactly as recorded and never to invent a code or a number. When the catalog does not cover a question, it says so in plain words and marks what follows as general practice, not catalog data.

Checks after the answer. Every product code in an answer is checked against the catalog before it becomes a link. A code that does not exist is not linked, and the conversation is flagged for review. Answers that had to fall back on general practice are flagged too, which shows us exactly where the catalog has a gap.

On your own hardware when privacy matters. For a business the same pattern can run entirely on equipment you own, so that the documents, the records and the questions never leave the building. That is how we set it up when the data is sensitive: client files, prices, contracts.

03Web integration

Clean data only pays off when people can reach it in two taps, on the device already in their hand. In a workshop that is a phone, held by someone wearing gloves.

Search that answers while you type. Type a code, a name or a job, in Russian or English, and the results appear under the field as you type, grouped into products, systems and categories. On a phone the search opens full screen above the keyboard.

Calculators. Every product with a mixing ratio gets a calculator: enter the size of the batch, read off the grams of each component.

A shopping list. Enter the area and the number of coats. The site works out the lacquer, the hardener and the thinner, adds an allowance for waste (15 % unless you change it), converts the amounts into whole packs and totals them across every line of the list. A list can be shared by a link.

A workbench view. A full-screen view for the mixing bench: large numbers, the running total to watch on the scale as each component is poured in, and a screen that is kept awake while you work.

Two languages. Every page exists in Russian and in English at parallel addresses, and search engines are told which is which.

Tools for the editor. Behind the public pages there is an editor's panel: data-sheet import, per-product history with restore, pack sizes, visit statistics that use no cookies, and a log of the assistant's conversations for quality control.

How this site works

One product, from paper to your phone

Here is what happens to a single product, step by step.

Nothing in it is specific to lacquer. Replace “data sheet” with “price list”, “contract” or “service manual” and the same chain applies.

  1. 01Data sheet
A PDF or a photo, uploaded by an editor
  2. 02AI reads it
Into a structured record, each value tagged with its source
  3. 03A person reviews
Differences ticked or rejected; every version kept
  4. 04One record
drives every page about the product:
    • Product page
    • Mix calculator
    • Shopping list
    • Workbench view
    • Goes over / under
    • Categories
  5. 05Search index
    Instant, typo-tolerant, Russian and English
  6. 06Assistant
Answers from these records and says when they have no answer
  1. A data sheet is uploaded

An editor uploads the manufacturer's data sheet in the admin panel: a PDF, or a photo or scan of a printed page.

The original file is kept. Every record made from it holds a reference to that file, so a figure can always be traced back to the document it was read from.

  2. AI reads it into a structured record

A structured record is a form with named boxes instead of a page of prose: name, type, mixing ratios, hardeners and thinners, consumption per square metre, drying times, pack sizes. Programmers call the format JSON.

The AI fills in the form from the sheet, in Russian and in English, and tags each value with where it came from. Only numbers actually printed on this sheet may be tagged “data sheet”; its own suggestions are tagged “recommended” and must say why.

If the product is already in the catalog, the AI is given the current record as well and told to keep everything the new sheet does not contradict, source tags included. Whatever the sheet does not say is listed as a gap, not guessed.

  3. A person reviews it, and history is kept

The draft never goes live on its own. The editor sees it beside the current record, one field per row, changed rows first, and ticks what to accept.

Publishing saves a new numbered version; the previous one stays. Any version can be opened later and restored, and removing a product from the site is a version too, so it can be undone.

  4. One record drives every page

Once published, that record is the single source for everything the site shows about the product: its page, the mix calculator, the shopping list, the workbench view, the “goes over / goes under” links to compatible products, and its place in the categories.

The shopping list uses the same record differently: area × coats × consumption per square metre, plus waste, split into components by the mixing ratio and rounded up to whole packs. If several lines need the same hardener, it is totalled once.

Change the record once and all of these change together. There is no second copy to forget.

A worked example: a 500 g batch of ATS20, exactly as the calculator on its page works it out. ATS20 →
ComponentParts per 100 of baseWeigh out
    Base ATS20100323 g
    Hardener AC402064.5 g
    Thinner S5035113 g
    Batch500 g

These figures are not typed here. This page asks the same calculation code the calculator uses. The arithmetic is done in whole numbers — tenths of a gram and hundredths of a percent — so amounts do not drift from one screen to the next. Amounts from 100 g up are shown to the whole gram and smaller ones to a tenth: the precision a workshop scale can actually use.

  5. The record is indexed for search

A search index is like the index at the back of a book: built in advance so that looking something up is instant. Ours is kept by an open-source search engine called Meilisearch. Products, systems and categories all go into the one index.

Typing “ats” finds the ATS products before you have finished the code; typing a job — “primer” or «грунт» — finds the products that do it. Small slips are forgiven: one wrong letter in a word of 5 letters or more, two from 9. Product codes are the exception, because there one wrong digit is a different product. Russian word endings are handled too, so «грунты» finds «грунт».

When a record is published the site brings the index up to date by itself. If the search engine is ever unavailable, the site answers the same question from its own copy of the catalog, so search does not go dark.

  6. The assistant answers from the same records

Ask a question and the assistant is handed these same records together with it. It is told to quote the figures exactly as recorded, and never to invent a product code or a number.

When the catalog has no answer, it says so, and marks anything further as general practice. The product codes it mentions are checked against the catalog before they turn into links.
